Higher recruiter efficiency & savings
Hirbox enables you to work on any requirement worldwide, based on skills and expertise. You do not have to be based in a particular country/region to work on a requirement from that country/region. For example, a recruiter in France can place a candidate in the USA even if he/she is not based in the USA. Similarly, a recruiter based in the Philippines can place a candidate for a job based in the Netherlands.
Hirbox does not charge its Sourcing Partners any fees or subscription
We have a Quickstart Guide available on the platform once you have signed up, and there is a dedicated Technical Support team available for assistance.
The “ownership” of the resumes remains with the company/entity which has uploaded the resume on the platform for as long as the job is open on the platform. Once the job is closed, the resume gets purged from the system after a specified period.
This would depend on variables such as job type, number of positions, hiring criticality and location of the Job posting.
All invoices are raised only post candidates joining the employer organization. You will get paid as per the payment terms specified in the Job Details section of the job. Please note that each job may have different payment terms.
The mode of payment is Bank Transfer.
Yes, the payment can be made to your personal account.
As of now, Hirbox does not provide a database to its sourcing partners or assist in buying job board subscriptions.
If you are an independent recruiter or affiliated with a recruitment agency, then working with Hirbox is easy and rewarding. Here is how it works: Hirbox has job requisitions from hundreds of employers. Recruiters can fill these jobs and earn a placement fee for each successful hire. They only need to register for free, review jobs and then start submitting candidates.
Our clients (employers) hire candidates submitted by recruiters. If a candidate you have submitted into the platform is hired, you will receive a placement fee.
Hirbox gives you access to hundreds of jobs from top employers across the U.S., who typically do not work with independent recruiters and agencies. Instead of spending time cold calling, negotiating contracts and getting on an approved vendor list to work on Fortune 500 enterprise jobs and collecting fees, you can spend your time recruiting more candidates by working with Hirbox.
You can send us an email at hello@hirbox.com or use the enquiry/support section in the panel itself ,and one of our representatives will be happy to answer your question via phone or email.
You will be paid 60 days following the date your candidate starts working for the client. In rare cases, it might take 90 days, but recruiters will be notified.
You can choose to receive a check via mail, or we can directly deposit your placement fee electronically in an account of your choice following the guarantee period.
If you are a registered company, we need you to provide the following:
The name of the legal entity to be paid.
The applicable EIN or Social Security number and W-9 form.
If you are an independent recruiter and do not belong to a registered company, we will need you to:
Complete a W-9 and send it to Hirbox. We will issue you an IRS Form 1099 at the end of the year.
Clients pay Hirbox after hiring a new employee. Hirbox does not collect fees from recruiters.
Hirbox pays recruiters the full amount of the fee, which is displayed next to each job requisition, after the candidate is hired.
We typically provide a 60-day replacement guarantee to clients (employers). The guarantee period may vary for certain employers. In rare cases, the guarantee period will be 90 days.
If our client believes an employee found on Hirbox is not the best fit during the guarantee period, and the candidate’s employment is terminated (voluntarily or due to cause), Hirbox may replace that candidate at the client’s discretion, and we would then ask you to find a replacement.
Payment is subject to the candidate completing the guarantee period. If a candidate leaves before the guarantee period is over and a replacement candidate has not been identified, neither you nor Hirbox will receive the placement fee.
The average placement fee for jobs on Hirbox is $5,000-$10000. This fee can be significantly higher based on the seniority of a role. The fee is displayed to recruiters next to each job requisition.
Your candidate profiles are not searchable. Other than the employer to whom you submit a profile, your candidates’ profiles are completely confidential. Privacy and security are of utmost importance to us, and we encourage all members to read Hirbox’s Privacy Policy.
Employers want to see candidates that they don’t already have in their database. Candidates who directly applied to a job posted by a client (employer) outside of Hirbox’s portal in the preceding 180 days “belong” to the employer and not to the recruiter. If the employer hires a candidate whom they already were in contact with (in the past 180 days), neither you nor Hirbox will receive credit for this referral, and the employer doesn’t owe a placement fee.
If you are the first recruiter to submit a candidate for a job, the candidate “belongs” to you for that particular client (employer) for a period of 180 days (or approximately 6 months). If the employer hires your candidate within that time frame, you earn the placement fee.
Our system prevents a candidate from being submitted twice to the same employer. In the unlikely event that duplicates do occur, the candidate ownership credit will be given to the recruiter who first submitted the candidate based on a time stamp in our system. Hirbox’s Account Managers will handle such cases.
Hirbox’s agreement with clients (employers) ensures that you will get paid if the client (employer) hires your candidate for another role.
You cannot re-introduce a previously hired candidate for at least 6 months following a placement. This helps an employer avoid candidates who aren’t committed to staying at a new job, ensuring Hirbox’s ability to provide exceptional service to the employers.
Hirbox provides visibility in the recruiting process that protects our customers and recruiters from common recruiting disputes. In the rare event that a dispute arises, we act as a neutral mediator to resolve a settlement between parties. If mediation is unsuccessful, both parties can enforce the Terms of Use to the fullest extent permitted by law.
You “own” your candidates for 180 days (or approximately 6 months) for a specific job. So, if you submit a candidate to one of our clients, and that client hires your candidate within the next 180 days, you will be eligible for a referral reward.
Other recruiters or clients cannot search your candidates’ profiles after 180 days. Other than the employer to whom you submit a profile, your candidates’ profiles will remain confidential.
Hirbox is a crowdsourcing platform. Recruiters are not contractors or employees of Hirbox. You may even want to avoid mentioning Hirbox as we are merely a facilitator in the hiring process.
We strive to review resumes as quickly as possible. Our typical feedback window is 2-3 business days.
Large enterprises who are on the Fortune 500 list and small and medium size companies are hiring new employees using our platform. The names of our clients are displayed to the recruiters after they sign up and agree to our terms of use.
Hirbox clients (employers) operate in a variety of industries, including technology, engineering, manufacturing, healthcare, accounting and finance, sales and marketing, logistics, retail and many others.
If you have specific questions for a client (employer), then please get in touch with the Account Managers who work closely with the client’s hiring team.
You can see the name and the contact details of the Account Manager in the Job Insights section.
Hirbox has job requisitions for roles across nearly all functions and industries, including information technology, management consulting, business development and sales, accounting and finance, management, healthcare and more. These jobs are “direct hire.” Temporary and contract positions are currently unavailable on the Hirbox platform.
You can continue to work with your client directly. Hirbox’s Terms of Use prohibits recruiters from developing new business through Hirbox. Parties attempting to violate this policy will be immediately removed from the portal and subject to legal recourse.
The average response time for the employer once a candidate has been submitted to the system is 3-5 business days.
You can find the status of your candidate in the “Dashboard” page on the Hirbox platform.
You will receive notifications in your Hirbox account, as well as an email, when an update is available for the job you are working on.
It’s good practice to let us know that you’re interested in recruiting for a job by adding it to your worklist.
You will be able to see how many candidates have already been submitted by other recruiters for a job.
Moreover, Hirbox software displays, in real-time, the number of candidates in each stage of the hiring process, e.g., interview, offer, etc.
Hirbox does not provide an email address or a phone number to members of the recruiting community.
Hirbox does not provide access to a candidate database or sourcing tools.
It depends on our clients’ preference. Whether or not you can post a job on job boards is indicated in the Hirbox software. However, you can never disclose salary details or the name of Hirbox’s client when advertising jobs on job boards or your website.
Hirbox is completely free for recruiters.
Yes, this is a requirement under our terms of service agreement. Hirbox wants to assure a great candidate experience and that starts with a conversation. Connecting with candidates is the quickest way to establish a relationship and get a sense of if the candidate is a good fit for the job in consideration or perhaps something different altogether.
When you speak to candidates, it is important to inform them of who you are and the entity you represent. You can also say that you are a talent supplier in the Hirbox hiring marketplace.
Here is a sample script that you can use:
“Hi (Candidate First Name), my name is [Name] and I partner with Hirbox, a hiring marketplace that connects people to opportunities. I’m reaching out to you today because I think you would be a great fit for the (Job Title) in (City, State) and wanted to see if you’re interested in learning more about this opportunity“
As the conversation continues remember to tell the candidate the following:
Keep a lookout in their email for an invitation to the job opportunity
On accepting the invitation the candidate’s application and resume will be submitted
A Hirbox Talent Advisor may contact them about next steps
If you need help creating your phone script, you can reach out to one of our Talent Advisors once you’re registered in the marketplace and they will assist you.
As a general rule, we don’t post compensation for positions publicly because the final compensation depends on experience and can vary based on the candidate. We do, however, provide a compensation range to help set the right expectations. If you have any specific compensation related questions on a job, you can contact the Talent Advisor for the position on the platform.
Yes! If you are planning to post to social media sites like Facebook, LinkedIn, or Twitter, make sure to use your unique shareable link in your post. If a candidate applies to a job from your post they will automatically be connected to you and the job, allowing you to track responses and receive rewards for successful placements.
We encourage our Talent Suppliers to publish a list of jobs on their personal websites or social profiles and have candidates apply directly through the unique shareable link for each job.
Upon registration you’ll set up your profile by specifying the types of jobs, categories and locations you prefer to recruit for. Using this information we will notify you as new jobs are published that match your profile. As you save jobs and submit candidates, our smart algorithms start to learn and better identify the best job opportunities for you.
Independent recruiters and Staffing Agencies from all over the world can join the Hirbox Hiring Marketplace and become an approved Talent Supplier. To qualify, recruiters must have prior recruiting experience that is verifiable, a valid business setup if applicable, tax registration number, and a bank account to receive payments.
When you have difficulties filling a role or the client is hiring multiple candidates it’s a good idea to fulfill the client’s need even for less than the total recruitment fee. Simply you can place more candidates and earn money, when otherwise you’ll get nothing.
Hirbox is free for recruiters. There are no costs or monthly fees for independent recruiters to use the platform. We take only a 20% share after successful placements.
The Employer will ask for interviews through the workspace – make sure all your communication stays on the Workspace. That way Hirbox can monitor all actions should any disputes arise in future.
You will see that there will be a status update next to the Candidates name if the Employer has requested an interview.
It is the duty of the Employer to inform you immediately if they have the Candidate already in their database or from another Recruiter.
Should they ask you to arrange an interview with the Candidate they are confirming that the Candidate is yours.
This is done from the Employer side but when it’s pressed you will be sent an e-mail by our accounts team asking you for confirmation of the hire – including the salary agreed upon. This is important for you to fill in correctly as we calculate your fee from this.
We will also ask you to confirm the start date of the Candidate.
The Employer should inform Hirbox of the change in start date which we will confirm with you to make sure that everything is done fairly.
You get paid what was agreed upon at the start of the process – either a % of the agreed salary or a fixed amount as agreed.
Hirbox takes a 20% cut from the total fee and you get to keep the 80%.
You get paid through a transfer to your bank account of choice – which we will ask you on hiring of candidate.
You get the following payment:
50% of your total fee (minus 50% of Hirbox 20% fee) on the 61st day after the Candidate starts work.
50% of your total fee (minus final part of Hirbox’s fee) on day 91st day after the Candidate starts work.
Please note that we will only transfer to a bank account in your name and not any third-party accounts unless specifically expressed to do so from your email address.
The Employer has a very clear refund policy, which is as follows:
0 – 60 days – 100% money back guarantee.
61 – 90 days – 50% money back guarantee.
The payment of your fee is reflected similarly as this:
Should your candidate resign or lose their job from day 0 to 60, you will not be due a fee.
Should your candidate resign or lose their job between 61 and 90 days, you will be due 50% of your fee.
Of course we will reach out to the Employer ourselves to make sure that the candidate’s reason falls within the limits of our agreements meaning except where the Candidate is made redundant, or a change in management.
Following the closing of a Job we ask both the Employer and the Recruiter to leave a review about each other to best inform others and make our community great and open and transparent as possible.
